Sample quantity, production minimum order quantity and quotation volume answer different questions. A sample request concerns the units needed for evaluation. Production MOQ concerns the quantity the supplier can accept for a defined order. Quotation volume is the quantity used to calculate a particular price.

Keeping these separate helps prevent a common misunderstanding: a price prepared for one order size does not automatically apply to another, and the availability of a sample does not establish the conditions of a production order.

Identify whether the request is for samples or production

For a sample enquiry, state the model, the configuration you want to evaluate and the sample quantity. Explain what you want to check, such as the reference specification or a proposed change. Ask the team to confirm the sample configuration, price, availability and delivery arrangements.

For a production enquiry, give the intended quantity for each model and list any changes from the reference specification. If you also expect to request a sample, identify it separately so the quotation can distinguish evaluation units from the proposed production order.

Ask what the minimum applies to

An answer such as “the minimum is per model” still needs a defined configuration. Ask whether the proposed quantity covers the same specification throughout, and whether colour, branding or packaging requests introduce separate conditions.

If you want several models, show the quantity for each one. Do not assume that quantities can be combined to satisfy a model minimum. Mixed-model orders, colour splits and packaging arrangements need their own confirmation; one overall order total does not answer those questions.

Request pricing for the quantity you intend to order

Ask the supplier to state the model, configuration and quantity used for each quoted price. If you are considering an initial order and a larger later order, request them as separate scenarios. This lets you evaluate the actual first-order proposal without treating a future purchasing estimate as a commitment.

When the quantity changes, ask whether the price, configuration assumptions or schedule need to be reviewed. Do the same if the quantity stays the same but you change the specification or split the order into additional versions.

Put the order structure in writing

A useful order brief identifies the model code, configuration reference, quantity, colour allocation and packaging request. If one of these is undecided, mark it as open. Ask the supplier to confirm which details are included in the quotation and which still need a decision.

Before proceeding, check that the written proposal distinguishes sample terms from production terms and names the configuration revision. This is more useful than relying on a single MOQ number taken from an earlier conversation about a different order.
